Track your entire green coffee collection. Add beans manually or import from vendor receipts. Search, filter, and organize by multiple criteria including origin, processing method, vendor, freshness, and more.

Where It All Starts

Every great roast starts with knowing what you have. When you're juggling a dozen different origins, each with its own processing method, vendor, and roast sweet spot, it's easy to lose track. How much of that Ethiopian natural do you have left? When did you buy that Sumatran wet-hulled? Which beans are getting stale and need to be roasted soon?

The Inventory module is the foundation everything else builds on. It's where your beans live — with all the detail that matters for making better roasting decisions. From here, beans flow into roasting sessions, inform your blend recipes, and give context to every rating. No more guesswork about what's in the cupboard.

Overview

The Inventory module is the foundation of RoastSource. It stores every green coffee bean in your collection with detailed metadata — origin country and region, processing method, vendor, weight, cost, tasting notes, and grade. From here, beans flow into the Roasting module when you start a session, and inventory data powers features across Blending, Ratings, and Equipment.

You can add beans one at a time with the manual form, or bulk-import directly from vendor receipts. The module supports 10 different views so you can organize your collection by whatever matters most to you at the moment — freshness, region, purchase date, or wishlist items.

Your Mode at a Glance

Craft mode keeps Inventory focused on the buying-and-roasting loop: By Coffee, By Date, Freshness, Coffees to Purchase, and Vendors. The analytic pivots — Region, Country, Processing, Purchases, and Grades — are Journey and Science views (Craft users can peek via the “Discover more” toggle). Craft roast history is grouped by date.

Workflows

1 Adding Beans Manually

  1. Open the Inventory module and tap the Add Bean button.
  2. Enter the coffee name (e.g., "Ethiopia Yirgacheffe Kochere").
  3. Select the country of origin. This auto-populates available regions, grades, and growing region data.
  4. Choose the processing method (washed, natural, honey, anaerobic, etc.).
  5. Select or enter the vendor you purchased from.
  6. Enter weight in pounds and cost. RoastSource auto-calculates the per-pound price.
  7. Add optional tasting notes and select a grade if applicable.
  8. Tap Save to add the bean to your inventory.

Things to Consider

Country selection drives the available grades and sub-regions, so select it first. Weight is tracked in pounds. Cost tracking helps you monitor spending over time and compare vendor pricing. You can always edit a bean later by tapping its row.

2 Importing from Vendor Receipts

  1. Tap the Import button in the Inventory module.
  2. Select your vendor from the list — RoastSource auto-detects Sweet Maria's, Happy Mug, Burman, Coffee Shrub, and other major US green coffee vendors.
  3. Paste your receipt text, or upload a photo or PDF of the receipt.
  4. Review the parsed items. RoastSource extracts coffee names, weights, prices, and origins.
  5. Adjust quantities or details if needed.
  6. Tap Confirm Import to add all items to your inventory.

Things to Consider

Always review parsed items carefully before confirming — receipt formats occasionally vary. Vendor detection improves parsing accuracy by applying vendor-specific rules. Multiple vendors are supported. If your vendor is not auto-detected, you can still paste receipt text and manually adjust.

3 Searching and Filtering

  1. Use the search bar at the top of the Inventory module.
  2. Type any keyword — search filters across all fields including name, vendor, country, region, and processing method.
  3. In the Coffee view, use the rating filter chips: ★ Highest rated (sort by your average cupping score), ♥ My favorites, ○ Never cupped (beans you haven't rated yet), or All.
  4. Switch between the 10 views to organize results differently (by region, date, freshness, etc.).

Things to Consider

Search is real-time and updates as you type. Each view answers a different question: Freshness tells you what to roast soon, Purchases helps track spending, Region lets you explore by geography. Combine search with views for powerful filtering — the "○ Never cupped" chip is a quick way to find beans that deserve a rating.

4 Exporting Inventory

  1. Tap the Export button in the Inventory header.
  2. RoastSource generates a CSV file containing all your inventory data.
  3. Download and open in Excel, Google Sheets, or any spreadsheet application.
  4. Use the export for ordering, insurance documentation, or record keeping.

Things to Consider

The export includes all fields for every bean in your inventory. CSV format is universally supported. This is useful for sharing your collection details with roasting groups, planning large orders, or keeping external backups.

5 Tracking Freshness

  1. Switch to the Freshness view in Inventory.
  2. See your beans color-coded by freshness status: fresh, aging, or past peak.
  3. Plan your roasting schedule around freshness windows to use beans at their best.

Things to Consider

Green coffee degrades over time. Most beans are at their best within 12 months of arrival. Some aged coffees (like Monsooned Malabar or aged Sumatra) actually improve with time. Use the freshness view to prioritize which beans to roast next.

6 Using Quality Grades

  1. Switch to the Grades view in Inventory.
  2. See your beans organized by quality grade based on origin grading systems.
  3. Out-of-stock beans are automatically excluded so you only see what you have available.
  4. Use grades alongside freshness to decide which beans to roast next.

Things to Consider

Quality Grades reflect the grading systems used by each coffee-producing country — for example, Ethiopia uses ECX Grade 1–5, while Kenya uses AA, AB, etc. The Grades view filters out beans you have used up, so it always reflects your current roasting options. Pair this view with Freshness to identify your best beans that are also at peak freshness.

7 Managing Purchase History

  1. Switch to the Purchases view in Inventory.
  2. Review all orders organized by date and vendor.
  3. Track your spending over time and identify purchasing patterns.

Things to Consider

The Purchases view helps with budget planning and identifying your preferred vendors. Over time you will see which vendors consistently provide coffees you rate highly. Use this data when planning future orders.

8 Building a Wishlist

  1. Switch to the To Purchase view in Inventory.
  2. Add beans you want to buy, noting the vendor and target price.
  3. When you purchase a wishlist item, move it to your active inventory.

Things to Consider

The wishlist is excellent for planning around vendor sales and new crop arrivals. Note seasonal availability — many single-origin coffees are only available during specific harvest windows. Check the Java Geek module for growing season details.

9 Syncing Across Devices

  1. Open Sync from the header or go to Settings.
  2. Select a local synced folder for your data — on your device, or a cloud-synced folder such as Dropbox or Google Drive.
  3. Follow the wizard to configure the folder.
  4. Enable auto-sync for hands-free background backups.

Things to Consider

Using your own cloud folder (Dropbox, Google Drive, iCloud Drive) is available to everyone today — devices that share the folder stay in sync, and all synced data is encrypted. Automatic cloud sync — zero-setup, no folder required — is coming with the Expert tier.

Tips & Best Practices

  • Tap any bean row to expand it and access edit/delete options.
  • Search filters across ALL fields — name, vendor, country, region, processing, and notes.
  • Vendor auto-detection supports major US green coffee vendors including Sweet Maria's, Happy Mug, Burman, and Coffee Shrub.
  • Undo reverses your last add, edit, or delete action — tap it quickly if you make a mistake.
  • Selecting a country unlocks country-specific data including grading systems, growing regions, and altitude information.
